HR Administrator/Receptionist – Canada (PMDM)

Job Description:

The Human Resources Administrator/Receptionist is responsible for carrying out a wide variety of human resources functions and other administrative duties as required. Operating the multiple call telephone switchboard console and greeting vendors, customers, and other visitors.


  • Verify hours from Time and Attendance System (IDT) for all full-time and agency employees.
  • Maintain accurate records on Ceridian INSYNC database, including rate, status, position and shift changes, as well as banking info etc.
  • Process vacation for the facility including record keeping and reporting.
  • Process and track all employee allowances (safety shoes, safety glasses, tool allowance).
  • Schedule and conduct orientations for new employees, explaining policies and procedures, and company benefits.
  • Responsible for administration of employee communication program, which includes postings, maintenance of bulletin boards, employee meetings (i.e. monthly meetings) upcoming events (i.e. BBQ, Christmas Party) etc.
  • Responsible for administration of uniform program in an accurate and timely manner.
  • Ensures operator training records are entered into spread sheet, filed and distributed to each cell on the plant floor.
  • Operate telephone switchboard console and route calls to the appropriate person or location.
  • Ensures that vendors, customers, and other visitors are escorted to the proper office.
  • Maintains pertinent telephone and visitor records.
  • Prepare, sort and distribute all internal and outgoing mail.
  • Co-ordinates travel, rental car and hotel arrangements
  • Co-ordinates catering arrangements and maintaining 5S of the shared office area, meeting rooms, and kitchen area.
  • Generates and distributes monthly Absenteeism reports and various other reports depending on requirements.
  • Work in compliance with Stackpole PMDM Quality and HS&E Policies and Procedures
  • Other HR initiatives and projects as assigned.


  • Must possess good analytical, organizational, interpersonal and strong communication skills, as well as a demonstrated ability in problem solving, and responsiveness to customer needs.
  • Must be proficient in Microsoft Office, Time and Attendance and HR Information Systems
  • High energy level and ability to carry out many and varied duties accurately and timely.
  • Two years plus of related work experience is desired, but recent graduates will be considered based on course work and grades
  • Strong Computer Skills


  • Graduate of a post-secondary program in Human Resource Management and be working towards the designation of CHRP or CHRL.
